Exhibitor Agreement – Homeschool Expo
This Exhibitor Agreement sets out the terms and conditions for participation in the Homeschool Expo, hosted by The Home School Hub (“Organiser”). By submitting your registration and ticking the acknowledgment box, you agree to abide by the terms outlined below.1. Use of Space
- Exhibitors must confine all activities, signage, and displays within the limits of their allocated space.
- Sharing or subleasing of space is not permitted without prior written consent from the Organiser.
2. Code of Conduct
- Exhibitors and their representatives must act respectfully, inclusively, and professionally toward all attendees, fellow exhibitors, speakers, venue staff, and Organiser personnel at all times.
- Harassment, discrimination, offensive language, aggressive behaviour, or any form of disruption will not be tolerated and may result in immediate removal without refund and possible exclusion from future events.
- Any concerns or issues must be raised directly with the Organiser and are not to be addressed independently.
3. Content Approval
- All presentations, workshops, and speaking topics must be suitable for a homeschooling audience and must be pre-approved by the Organiser.
- The Organiser reserves the right to request changes or decline topics that are deemed unsuitable or misaligned with the event’s values.
4. Workshops & Speaker Sessions
- The Organiser may charge a fee to workshop or session attendees to ensure attendance commitment.
- Exhibitors agree to deliver all content as agreed, and on time, and to notify the Organiser promptly if changes are required.
5. Health, Safety & Compliance
- Exhibitors must comply with all venue rules, health and safety requirements, and applicable laws and regulations.
- All displays, equipment, and materials must be safely installed, operated, and monitored throughout the event.
6. Liability
- Exhibitors participate in the event at their own risk and are responsible for their property and equipment.
- The Organiser accepts no liability for loss, damage, or injury except in cases of proven gross negligence.
- Exhibitors agree to indemnify and hold harmless the Organiser from any claims, losses, or damages arising from their participation in the event.
7. Cancellations
- Exhibitor cancellations must be submitted in writing.
- Refunds, if any, are at the sole discretion of the Organiser and may be subject to an administrative fee.
- The Organiser is under no obligation to provide a refund except where required by law.
- The Organiser reserves the right to cancel, postpone, or modify the event due to unforeseen circumstances (e.g. venue issues, weather, health orders) and will offer alternatives or refunds at its discretion.
8. Floor Plan & Event Adjustments
- The Organiser reserves the right to make changes to booth placements, floor plans, schedules, and event policies as necessary to ensure operational efficiency and event success.
- While the Organiser will make reasonable efforts to accommodate preferences, final placement decisions are at the Organiser’s discretion.
9. Data Use & Communication
- By registering for the event, the Exhibitor agrees that the Organiser may collect, store, and use the personal and business information provided for the purposes of event management, communication, and operational delivery.
- Information will be handled in accordance with the Organiser’s [Privacy Policy] and will not be sold or disclosed beyond what is necessary to run the event.
- Exhibitors may receive future communications from The Home School Hub about related events, marketing opportunities, and community updates.
- At the Organiser’s discretion, limited contact details (e.g. business name and email address) may be shared with sponsors or aligned event partners for relevant and approved follow-up.
- Exhibitors may opt out of future promotional communications at any time by following the unsubscribe instructions provided or contacting the Organiser directly.
10. General
- This Agreement constitutes the full understanding between the parties and supersedes all prior representations, whether written or oral.
- This Agreement is governed by the laws of the jurisdiction in which the Expo is held.
- Any disputes arising from this Agreement will be subject to the exclusive jurisdiction of the courts in that jurisdiction.
